Winchester Heritage Open Days is a project run by Hampshire History Trust. The project team and the Trust are committed to the protection of your privacy. 

Privacy policy

We collect personal information directly from you when you volunteer it to us, or when we gather it from your use of our Services. We try to limit our use of personal information to the details we need to provide the requested or agreed Service for you.

Only the volunteers working on Hampshire HistBites and Heritage Open Days projects can access the data, and only when it is relevant and timely to the specific project they are working on. All information is kept securely and password protected.

We’ll never sell your personal data and will only have/use your information if you;

  1. have subscribed by email to our mailing list to send you a maximum of twelve digital newsletters per year. You can unsubscribe at any time from the mailing list by clicking at the bottom of the email and/or by contacting us. The information is stored and managed using Mail Chimp.

  2. book on an event to send you details and/or changes of the aforementioned event The information you provide is managed and stored using EventBrite, and is only used for purposes of managing the event. We have provided more details below.

  3. take part in one of our competitions. We will provide more information on what information we need and how we will use it in the competition rules.

  4. are a volunteer, paid intern, or contractor to contact you about specific issues relating to your work, your volunteering experience/internship and to inform you of any training opportunities and/or festival events and activities

  5. are an event organiser to notify you about festival planning arrangements, seek information on your event and inform you of any associated festival events and activities including training opportunities. We usually communicate with you via Mail Chimp, but if you join our online discussion forum, your name and email will also be stored and managed using tribe.

  6. are a contributor to Hampshire HistBites, our podcast channel, to notify you about the podcast and future podcasts, seek information on your contribution and to inform you of any associated promotional activities of any podcast(s) you have contributed to.

  7. are a financial supporter or sponsor to notify you about the festival programme and promotional work, and invite you to any associated festival events and activities. In some cases we may supplement the information you have given us with data from elsewhere. Examples include adding social, economic, financial and demographic data to our fundraising information, improving or correcting contact details or conducting appropriate due diligence to safeguard the reputation of the festival in the case of significant financial transactions. Sources of data could include information gathered from a news article, or online media, publicly available directories or Companies House. We do this so that our fundraising approaches are informed by research carried out using this publicly available data.  We tailor our approaches to ensure that the fundraising strategy is appropriate and tailored to individual interests, and will not cause offence. 

Additional Information

  • Please note if you book to attend an event at the festival via our bookings system then we may need to share your name and contact details with the individual(s) or organisation running the event. This is to enable them to manage admissions on the day and to contact you if the event is cancelled or changed. The information shared will not be used for any other purpose by the event organiser unless otherwise agreed between you and the event organiser. We will only share your contact information when it’s necessary, and we will notify you at time of booking if your data is likely to be shared with the Event Organiser.

  • If you are an event organiser than we may need to share your name and contact details with the national Heritage Open Days team. We will only share it when it’s necessary and the privacy and security of your data is assured.

  • All personal information given to us whether through this website, at Heritage Open Days events or directly will only be held and used with care and in accordance with this policy.

  • We do not normally collect any Sensitive Personal Information from or about you, and do not wish to do so unless it is absolutely essential. We may on rare occasions collect and use your Sensitive Personal Information, such as dietary or access and assistance requirements which may indicate a health condition or illness, or other Sensitive Personal Information details which are volunteered or provided by you. If we need Sensitive Personal Information we will ask you to provide us with necessary details only.

  • We use the SquareSpace analytical and performance cookies to estimate total number of visitors to the website. For more information please refer to our cookie policy.

Your rights

  1. Where we are using your personal data on the basis of consent, you have the right to withdraw that consent at any time and to request details of what information we have.

  2. You may change or stop the way in which we communicate with you or process data about you, and if it is not required for the purpose you provided it, then we will do so.

  3. If we are carrying out research, you can ask us not to do so.

  4. For more information, or to amend your personal data or how we contact you including requests to unsubscribe from any communications please contact us 

  5. If you are not satisfied with the way we have processed your data, then you can complain to the Office of the Information Commissioner.

Policy changes

Any changes to this Privacy Policy will be posted here and will take effect immediately.
